1. Data controller

2. Data we collect

  • Attendees: name, email, custom registration fields (set by organizer), Q&A submissions, IP address
  • Organizers: name, email, password hash
  • Event content: translation transcripts, Q&A text, and session recordings are stored to provide post-event summaries, transcripts, and visualizations
  • Cookies: authentication session (24h) and event access token (30 days) — functional only, no analytics or tracking

3. How we use your data

  • Event registration, attendance management, and access to live content
  • Transactional emails only (confirmations, access links) — no marketing
  • AI-powered features (see Section 4)
  • Security and rate limiting

4. AI processing

We use AI (Google Gemini) for:

  • Real-time translation: speaker audio is processed into text translations. Transcripts are stored for post-event summaries and visualizations.
  • Schedule extraction: uploaded documents are processed to extract structured event data. Organizers review before publishing.
  • Q&A and summaries: questions and session content may be processed by AI to generate summaries and insights.

We do not use your data to train AI models, sell it, or share it for third-party training.

5. Legal basis (GDPR Art. 6)

  • Consent: attendee registration
  • Contract: organizer accounts
  • Legitimate interest: security, transactional emails

6. Data storage and sharing

Data is stored in Cloudflare D1 (EU — Western Europe). Sub-processors: Cloudflare (hosting), Resend (email, US with EU SCCs), Google Gemini (AI). We do not sell personal data. Event organizers can access registration data for their own events.

7. Retention

  • Event data (registrations, Q&A, transcripts): 12 months after event ends, or upon organizer-initiated deletion
  • Organizer accounts: until deleted
  • Security logs: 48 hours
  • Anonymized aggregate statistics: retained indefinitely after event deletion for reporting purposes (no personal data)

8. Your rights

You can request access, correction, deletion, or portability of your data. Email kristijonas@proconf.lt — we respond within 30 days.

Complaints: Lithuanian State Data Protection Inspectorate (VDAI).

9. Changes

Updates will be noted with a new version and date above.
